The documents we handle

Documents in the health & care field

Walloon Brabant hosts a pharmaceutical and biotechnology cluster whose files travel between several authorities and several countries. Alongside it, hospitals in the east of the province take in patients who read no French. Both worlds share one constraint: a word rendered badly cannot be repaired after the fact.

01

Medical records

Discharge summaries, surgical reports, imaging protocols, laboratory results and letters exchanged between doctors.

02

Regulatory documentation

Modules of a registration dossier, periodic safety reports, responses to an agency's questions and correspondence with the authorities.

03

Clinical trial protocols

Study synopses, the full protocol, the investigator brochure, case report forms and every amendment that goes before an ethics committee.

04

Leaflets and labelling

Patient information leaflets, summaries of product characteristics, packaging statements and documents handed to the pharmacist.

05

Informed consent

Information and consent forms written in a language the participant genuinely understands, and not merely officially.

06

Insurance and health fund papers

Incapacity certificates, medical expert reports, statements for care received abroad and European forms.

Health & care
The way we work

The health & care field in Walloon Brabant

On a hospital ward in Ottignies or Nivelles, just as in a practice in Waterloo, some patients share no language at all with the care team. What is lost at that moment is not recovered later: a diagnosis drifts, a consent form loses its legal value, a treatment is not followed. Our medical interpreters hold to the rule of the trade, which is to convey everything, including what is uncomfortable, without softening or summarising, and never to answer in the doctor's place.

Walloon Brabant concentrates a notable share of the country's pharmaceutical and biotechnology activity: vaccine production, clinical trials, therapy development. Protocols, investigator brochures, consent forms, registration dossiers and package leaflets circulate there constantly and must follow the sponsor's, the agency's and the ethics committee's templates to the word. Those texts go to linguists trained in medical vocabulary, then to a reviser from the same field. Health data is processed under the GDPR on European servers and erased at your request.

When a patient turns up unannounced, the phone line remains the quickest route, weekends included. English dominates, for the families who have come here to work; then come Dutch, Arabic, Romanian and Ukrainian.

  • Clinical trial protocols and investigator brochures

The interpreter in the room

When a written translation stops being enough

A medical interpreter does more than move sentences across: they hold the right distance between clinician, patient and what has to be understood.

Consultations

Specialist consultations, delivery of a diagnosis and explanation of a treatment to a patient who does not follow French.

Unplanned admissions

Arrival at the emergency department of a hospital in the province, where the first half hour often shapes everything that follows.

Consent discussions

Enrolment in a clinical trial, explanation of the risks and collection of the participant's signature.

Inspection visits

An audit or inspection at a production site, when the inspector and the local team share no common language.

Asking a relative to translate what a doctor is announcing puts that person in an impossible position, and the patient often hears only a softened version. For informed consent the practice becomes plainly indefensible: the signature only holds if the information was given in a language the signatory masters.

How it unfolds

What happens between your upload and the handover

Your health & care file stays with one and the same project manager, from the first document received to the final handover.

  1. 01

    Send the document over

Any readable phone snap will do, however badly framed. Booking an interpreter instead? Send the date, the address and the pair of languages involved.

  2. 02

After 1 h you know price and deadline

You learn the figure, the delivery date and which route applies: sworn where an authority insists, standard everywhere else. Nothing to pay, nothing to sign.

  3. 03

The file goes to a specialist

Your text is handed to a linguist who uses health & care terminology daily, then passes under a second pair of eyes.

  4. 04

    Handover or on-site assignment

The digital version reaches you by email. If a counter wants the stamped original, it travels by registered post. For a spoken assignment, the interpreter is there at the agreed hour.

What we commit to

What really counts on a health & care file

01

A closed circuit for health data

Files stay hosted inside the European Union, access is limited to whoever works on the case, and nothing passes through a translation tool open to the general public.

02

Checked figure by figure

Dosages, units, concentrations and dates are verified separately from the running text, because that is exactly where the errors that matter settle.

03

A linguist from your own trade

We do not send a specialised text to a generalist. Urgency changes nothing about that rule, it only makes it harder to honour.

04

Confidentiality put in writing

Nobody touches your file without a signed confidentiality undertaking. Storage sits on servers inside the European Union, and one written request from you is enough to erase everything.

05

The quoted amount is the invoiced amount

No surcharge surfaces along the way. Translation, revision and handover all sit inside the figure you approved at the start.

06

Travel included within our area

Our interpreters drive to Wavre, Nivelles, Waterloo, Ottignies-Louvain-la-Neuve, Braine-l'Alleud, Rixensart or Jodoigne with no mileage charge.

Good to know

Frequently asked questions

Do you translate documents for an ethics committee?

Yes, protocols, investigator brochures and information forms included. Consent calls for particular care: it has to stay readable for a participant with no medical training while remaining faithful to the protocol. A second person reads it through before every handover.

Does a foreign medical report have to be sworn for the health fund?

Rarely for a routine reimbursement, almost always once an expert assessment, a dispute or proceedings come into play. Send us the written request from the body concerned: we will tell you which of the two forms is enough, rather than charging you for the heavier one as a precaution.

Can an interpreter reach the hospital the same day?

For a situation nobody could have foreseen, we start looking straight away and often propose a phone link within the hour while an interpreter travels. For a scheduled appointment, 24 h is enough to free up the right person.

Who takes on a regulatory dossier?

Translators with a science background, starting from the terminology already validated in your earlier versions. We build a glossary from the very first file and reuse it, so that the vocabulary does not drift from one submission to the next.
