Documents in the finance & insurance field

Walloon Brabant hosts head offices answering to a foreign shareholder, accountancy firms looking after expatriate directors, and families whose wealth is spread across several countries. In files like these, a wrongly named accounting item is not up for debate: it gets corrected, and the correction costs everyone time.

01

Annual accounts

Balance sheets, profit and loss accounts, notes and management reports, with the mapping between the Belgian chart of accounts and the recipient's framework.

02

Tax documents

Tax returns, assessment notices, proof of tax residence and correspondence with the tax authority of another country.

03

Banking files

Account openings, credit files, evidence on the origin of funds and know-your-customer documents.

04

Insurance

Insurance contracts and their annexes, claim files, an expert's conclusions and letters setting an indemnity.

05

Compliance

Internal procedures, codes of conduct, control reports and anti-money laundering documents.

06

Audit and reporting

Auditor's reports, letters of representation, analytical notes and presentations for a foreign shareholder.

Finance & insurance
The way we work

The finance & insurance field in Walloon Brabant

One balance sheet item rendered crookedly, or one exclusion of cover approached loosely, is enough to make a document unusable. Our linguists carry the Belgian chart of accounts, the headings used when filing with the National Bank and the vocabulary of the IFRS standards. They also know that insurance categories do not overlap from one country to the next, and that a contract translated too literally creates cover that exists nowhere.

The province concentrates a clientele whose assets and careers cross borders: executives of multinationals, staff of European institutions, families settled for a few years in Waterloo or Rixensart, self-employed people declaring part of their income elsewhere. Intended for a bank, a tax authority or a foreign insurer, these documents frequently call for the sworn version, with legalisation of the signature at the FPS Justice when the receiving country requires it.

Handling follows one rule: access limited to the project manager and the linguist, no pointless internal circulation, and deletion after delivery as soon as you say the word.

  • Tax returns and tax assessment notices
  • Bank statements and certificates of balance

The interpreter in the room

When a written translation stops being enough

Some appointments leave no room for approximation: a signature is about to go down, and it will have to be shown that the signatory had understood.

Banking appointments

Opening an account, presenting a credit file or a meeting between a non-French-speaking client and their adviser.

Loss adjusting

On-site assessment, adversarial expert meeting and discussion of the amount of an indemnity.

General meetings

A governing body meeting, a strategy committee or an assembly where one member does not follow the discussion in French.

Closing meetings

A progress review with an auditor, presentation of the figures to the parent company or a compliance walkthrough.

An item carried word for word from one framework to another rarely lands in the right place on the balance sheet. Provisions, fixed assets, equity: each term has a precise counterpart, and the approximation is obvious to the recipient at once. We work from the destination framework, not from the dictionary.

How it unfolds

What happens between your upload and the handover

Your finance & insurance file stays with one and the same project manager, from the first document received to the final handover.

  1. 01

    Send the document over

Any readable phone snap will do, however badly framed. Booking an interpreter instead? Send the date, the address and the pair of languages involved.

  2. 02

After 1 h you know price and deadline

You learn the figure, the delivery date and which route applies: sworn where an authority insists, standard everywhere else. Nothing to pay, nothing to sign.

  3. 03

The file goes to a specialist

Your text is handed to a linguist who uses finance & insurance terminology daily, then passes under a second pair of eyes.

  4. 04

    Handover or on-site assignment

The digital version reaches you by email. If a counter wants the stamped original, it travels by registered post. For a spoken assignment, the interpreter is there at the agreed hour.

What we commit to

What really counts on a finance & insurance file

01

The destination framework comes first

We ask who the document is for before opening the file. A balance sheet read in London, Frankfurt or New York does not call for the same mapping of items.

02

Compartmented access

Your documents do not circulate around the team. Only the project manager and the assigned translator reach them, and storage is wiped at your written request.

03

A linguist from your own trade

We do not send a specialised text to a generalist. Urgency changes nothing about that rule, it only makes it harder to honour.

04

Confidentiality put in writing

Nobody touches your file without a signed confidentiality undertaking. Storage sits on servers inside the European Union, and one written request from you is enough to erase everything.

05

The quoted amount is the invoiced amount

No surcharge surfaces along the way. Translation, revision and handover all sit inside the figure you approved at the start.

06

Travel included within our area

Our interpreters drive to Wavre, Nivelles, Waterloo, Ottignies-Louvain-la-Neuve, Braine-l'Alleud, Rixensart or Jodoigne with no mileage charge.

Good to know

Frequently asked questions

Does an accounting document have to be sworn?

For internal use or reporting to the parent company, no. As soon as it is produced before a court, a foreign tax authority or a notary, sworn translation becomes the rule. Tell us the destination and we settle the question before quoting.

How do you protect sensitive financial data?

A confidentiality undertaking signed by everyone involved, hosting inside the European Union, access restricted to those working on the file and deletion on written request. No publicly available translation tool enters the circuit.

Do you follow files for families living here because of Brussels?

Regularly. Expatriate employment contracts, wealth arrangements, cross-border declarations between two countries, banking papers: such files mix administrative, tax and sometimes notarial documents. We point out case by case which ones call for a sworn translation.

Can a single item go out very fast?

A certificate, an extract or a statement of a few pages goes express, within 24 to 48 h. For a full set of annual accounts we would rather announce a date we can hold than a promise that would collapse on handover day.
